GCC Internal CRM - Sales

From time to time, especially during demonstrations, I get asked whether GCC uses Microsoft CRM internally and, if so, how do we have our own CRM set up for our day to day work.

Well the answer is yes we do use MS CRM internally and this Blog seems as good a place as any to go through how we have our internal systems set up, so today I’m starting with the Sales area in CRM.

 

Customer Record

We have the usual database items to be able to create mail shots, filter reports etc and we have also added a Tab for profile details to collect further information related to our market, ERP package, CRM package that the customers use and so on.

The profile report tab auto runs a report that gathers together all the information that a sales person needs for a visit to a customer. It lists the service contracts the customer has, statistics on the helpdesk calls etc.

The credit control tab and stock sold tab auto run reports that pull down the data from our ERP package Sage 200 for the customer you are looking at. These tabs show the current outstanding debt and can drill to invoice details, open sales orders and stock sold to the customer.

The consequence of using these types of reports is that we can link any SQL database to any other SQL database as long as there is a link between the databases. This then gives our sales team the ability to see data from other systems within CRM.

Opportunities

The opportunity screen has been modified to allow us to split an opportunity into the various product streams, changing one of the sub totals automatically changes the total revenue.

Activities, appointments and emails regarding this opportunity are then stored against the opportunity record allowing all staff to know what’s happening with an opportunity.

Sales Reports

We use the SQL reporting subscription method to automatically email out reports to staff. On Monday morning reports go out to the sales team detailing opportunities due to close this month, next month and one detailing activities done in the last 7 days and ones due in the next 7 days.

The above is an example of opportunities closing this month, as each opportunity should have a future activity then yellow highlight indicates that the activity has passed.

Mobile

We use iPhones and use them to connect back to our live CRM via opening a VPN on the phone. We could use an offline solution to a mobile or a blackberry (which we can demo) but prefer to use and show the free solution to customer and prospects so they can see what they would get without incurring additional costs.

Microsoft CRM 4 Knowledgebase

The knowledge base in Microsoft CRM allows you to create a database of solutions to problems encountered by your customers or even internally within your own organisation. It then allows you to search the database and/or email the solution to a customer or colleague.

The video tutorial link below takes you through setting up a knowledge base article which can then be used for solutions to customer care incidents or internal FAQ’s plus how to send the solution out via email.

Microsoft CRM 4 Mail Merge Templates

Uploading word merge templates in Microsoft CRM allows you to continually run merges without having to set up the documents every time.

MS CRM Tips and Tricks

Below are four quick tips on using CRM.

 

1. Sorting by more than one column in a view

 

To sort by more than one column in CRM click on the relevant column title to sort that first column as normal

Then hold down the SHIFT key whilst you click the column title of the second column and you will then have sorted by both columns

2. Get a quick summary of a record

 

Open a record, in this example an account, and then click the print preview icon on the toolbar

You are then presented with a screen summary of that record

 

3. Create a desktop shortcut to create a record

 

If you need to create a desktop shortcut to a CRM create record screen, then open a new record screen as normal and then hold down the CTRL key and press the N key. The form will open but this time you will have the address bar giving you the URL to paste into your desktop shortcut. Example below shows the new case screen

4. Send a shortcut of a record to a colleague

 

If you are working in a record and need a colleague to access the same record then simply send them a shortcut to the record by email, to do this open the record and selet ACTIONS - SEND SHORTCUT. This will then open your email and insert into the email body a shortcut URL to the record

Microsoft CRM 4 Email Templates

Using email templates in Microsoft CRM is a great way to cut down on retyping the same email time and again. They can also be used to send out by mail merges and also by automated workflows.

Microsoft CRM 4 Advanced Find and View Sharing

The advanced find in Microsoft CRM is a great way to filter your data and then either create a view, run marketing against the results, export to Excel and so on.

The video tutorial link below takes you through setting up a simple advanced find that filters on two entities, it then shows how to save the find as a view and then share that view with others.
