How to check a user’s security access in Microsoft Dynamics 365 CRM
22 August 2022
Summary
Sometimes getting a user’s security access to particular records can be fiddly and leave you feeling unsure as to where access has or has not been given.
Thankfully, there’s an easy way to check your access or another user’s access to a specific record – within the Microsoft Dynamics 365 CRM user interface.
How do I do this?
- Within any record there is a ribbon command called “Check Access”:
- Clicking on this presents a new window that shows the currently logged on User’s access, as below:
- You can then select which permission you are looking at, by clicking on the permission/access type (Read, Write, Create, etc).
The “Assigned directly” section will then show you how those permissions are obtained.
NOTE: System administrators can also change which user is being checked by utilising the user lookup field in the top left-hand corner.
Getting Record access right
The combination of seeing which roles give which permissions allows a smoother experience when fine tuning security.
If you don’t have the required permissions, then your system administrator can use this information to tweak your security roles to get the required access.
