How to flag a record as inactive in Sage 50 without deleting

Summary

To keep your accounts tidy and easy to manage, you can use the Inactive flag to hide old and unused customer, supplier, product, nominal or bank records from your record lists without deleting them.

How do I flag a single record as inactive?

1. Open the required module, for example Customers, Products or Bank accounts, then double-click the required record.

2. Select the Inactive check box in the Account Details section, click Save then click Close.

NOTE: When you flag a record as inactive in Sage 50 Accounts, there are several checks to ensure the record is not still in use. If there’s a reason why you can’t make the record inactive, a message appears advising why.

How do I flag multiple records as inactive?

You can use batch changes to flag multiple records as inactive at the same time.

1. Open the required module, for example Customers or Products, then click the required records.

NOTE: Nominal and Bank records can only be edited individually.

2. To select more than one item you may need to hold down the Ctrl key.

3. Click Batch Changes from the options in the top ribbon, then select the Inactive check box in the Account Details section, click Save then click Close.

How do I remove the inactive flag from a record?

1. Open the required module, for example Customers, Products or Bank accounts.

2. Select the required record and click New/Edit, clear the Inactive check box in the Account Details section, click Save, then click Close.

How do I view or hide inactive records on my lists?

1. Open the required module, for example Customers, Products or Bank accounts.

2. Do one of the following:

  • To see inactive accounts throughout the software, select the Include inactive check box.
  • To hide inactive accounts in the relevant module and in record lists when posting transactions, invoices and orders, clear the check box.

TIP: In Sage 50 Accounts v28.1 and above, inactive records are also hidden from the ActiveSearch Popup lists.
