How to use the new Report Message button in Microsoft Outlook

Summary

A new feature is available within your local Microsoft Outlook client – the Report Message button.

Within your local Microsoft Outlook client, the Report Message add-in works to permit the user to report suspicious messages to Microsoft, as well as manage how your Microsoft 365 email account treats these messages.

The Outlook Report Message add-in will be centrally rolled out via your Microsoft 365 portal. Once this has successfully completed, the Report Message add-in button will automatically appear within your Microsoft Outlook client, as below:

What does the Report Message button do?

This button will allow users to report suspicious messages directly to Microsoft, which is extremely useful as spammers and phishing attempts are continually evolving.

Messages that your Microsoft 365 email account marks as junk are automatically moved to your Junk Email folder. But, if you receive a junk email in your inbox, you can use the Report Message add-in to send the message to Microsoft to help us improve our spam filters.

Additionally, if you find an email in your Junk Email folder that’s not spam, you can use the Report Message add-in to mark it as a legitimate email. You can do this by moving the message to your Inbox and reporting the false positive. This will again help Microsoft improve our spam filters.

How to use the Report Message button

1. From your local Outlook inbox, select an email that you wish to report back to Microsoft as suspicious.

The Outlook ribbon should now have the Report Message Add-in displayed, as shown below:

2. Click on the Report Message icon, and this will display the below menu options:

3. Select the appropriate classification:

  • Select Junk if it is an unsolicited email sent via bulk email.
  • Select Phishing if you suspect the email to be fraudulent. For example, an email designed to obtain private information and data.

NOTE: You’ll have the option to send a copy of the message to Microsoft, along with your classification of the message. (This is not mandatory.)
