Keep your accounts tidy by hiding old and unused records in Sage 50

Summary
To help keep your accounts tidy and make it easier to locate records in Sage 50, you can use the inactive flag to hide old or unused customer, supplier, product, nominal and bank records from your lists without deleting them.
There are a few different ways to achieve this, which we will explore in this blog.
Flag a single record as inactive
1. Open the required module, for example Customers, Products or Bank accounts, then double-click the required record.
2. Select the Inactive check box in the Account Details section, click Save then click Close.
Flag multiple records as inactive
1. Open the required module, for example Customers or Products, then select the required records.
NOTE: Nominal and Bank records can only be edited individually.
2. To select more than one item you may need to hold down the Ctrl key.
3. Click Batch changes then select the Inactive check box in the Account Details section, click Save then click Close.
View or hide inactive records on your list
1. Open the required module, for example Customers, Products or Bank accounts.
2. Do one of the following:
- To see inactive accounts throughout the software, select the Include inactive check box.
- To hide inactive accounts in the relevant module and in record lists when posting transactions, invoices, and orders, clear the check box.
Remove inactive flag from a record
1. Open the required module, for example Customers, Products or Bank accounts.
2. Select the required record and click New/Edit, clear the Inactive check box in the Account Details section, click Save, then click Close.
What if I can’t flag records as inactive?
When you flag a record as inactive in Sage 50 Accounts, there are several checks to ensure the record is not still in use. If there’s a reason why you can’t make the record inactive, a message appears advising why.
