Microsoft Dynamics 365 Customer Engagement Storage – Demystified

Summary

Your Microsoft Dynamics 365 Customer Engagement solution will store information in 3 separate areas, and each have different purposes, allocation amount and costs.

The 3 areas are:

  • Database – information such as Account, Contact, Opportunity

  • File – attachments linked to Notes or Emails

  • Logs – audit history (if enabled on your system)

How is it allocated in Microsoft Dynamics 365 Customer Engagement?

Your environment will by default receive an amount of storage.

If you have purchased Enterprise licenses, you get additional storage for each user.

Usage

If you exceed your storage in any one of the 3 areas, additional storage can be purchased by contacting your GCC account manager OR taking one of the precautionary steps mentioned below might keep you going for a bit.

Database
Global Search uses indexes on each table and field which is searchable. Limit/remove fields and tables which are not necessary or regularly used.

Implement an add-on application which strips email rich content and saves it to an Azure blob without effecting the user experience.

Review your usage of Activities on the Timeline.
Can your company get by with less?

File
Store all files and pictures associated with data on the linked SharePoint document area

Implement an add-on application which will move email and note attachments and save it to a designated SharePoint area without effecting the user experience.

Log
Delete old audit logs either by date or by file type

Limit the tables and fields which are audited.
