Stay organised with Microsoft Teams Task Integration

Summary

Microsoft Teams has become an essential tool for remote collaboration and communication, allowing teams to work together seamlessly despite physical distance.

One of the key features that we mentioned in an earlier blog is the Tasks Integration feature. This blog will run through how this feature lets users create and manage tasks within the platform.

This is fantastic feature to help teams stay organised and productive, even when working remotely.

What is Microsoft Teams Tasks Integration and why should I use it?

This feature allows users to create tasks in Microsoft Teams and assign them to specific team members or channels. It integrates with other Microsoft products, such as Planner and To-Do, so users can keep track of their tasks across multiple platforms. You can also receive notifications and reminders about upcoming tasks, making it easier to stay on top of your to-do lists.

This is fantastic feature to help teams stay organised and productive, even when working remotely.

How do I get the Task app?

To use the Tasks Integration functionality, you’ll need to add the Tasks by Planner and To Do application to Microsoft Teams.

1. To do this, navigate to Apps, located on the left hand pane of Microsoft Teams, and use the search bar to find Tasks by Planner and To Do.

2. Once you have found the application, click into it and you’ll be presented with the below window.

3. Click on the drop-down arrow and you’ll be able to choose the locations where the app can be added. For example, to a Team, Chat or a Meeting.

What can the Tasks Integration feature do?

Track your Tasks

1. Once you have added the Tasks by Planner and To Do app, you’ll be able to see Tasks that you have created or tasks that have been assigned to you, in the My tasks section.

2. In the My Tasks section you can keep track of:

  • Tasks: This shows a list of tasks that you have added in Outlook or in To Do.
  • Important: This shows a list of all your tasks in To Do that have been marked with a star.
  • Planned: This shows a list of all your tasks in To Do, that have been given a due date. These will be listed by date to aid in planning your time.
  • Assigned to me: This shows a list of all your tasks in Planner that have been assigned to you.
    NOTE: In order for this list to appear, you must have synced your Planner to ‘To Do’.
Track your Shared plans

The Shared plans section of Tasks shows you plans that have been added to your channels in Teams.

This enables you to choose from a list of teams and channels and locate the plan you’re looking for. You’ll then be able to work with the plan as usual in either Board, Chart, Schedule View, or in the List View.

List View

List view enables you to change many tasks at once. This useful feature of the Tasks app displays tasks and information associated with them in rows and columns. It also allows you to filter your tasks, making them easier to manage.

Change multiple tasks at the same time

It’s possible to change several tasks at the same time by doing a “bulk edit”.

1. Select a task.

2. Then press and hold the SHIFT key to select multiple consecutive tasks, or you can press and hold the CTRL key to select multiple non-consecutive tasks.

3. Above your tasks list, choose ProgressPriority, or Due date and then choose an option. You can also choose More options  More options button which will enable you to select Delete, Move task, or more.

NOTE: Options may vary depending on the list you’re viewing.

Receive notifications about Tasks

The Tasks app can provide you with notifications for Planner tasks which will then show up in your Teams activity feed on your desktop and in the Teams mobile app.

You’ll receive a notification when:

  • Someone else assigns a task or an urgent task to you
  • Someone else makes a task already assigned to you urgent
  • Someone else makes a task already assigned to you not urgent
  • Someone else changes the progress of a task assigned to you
  • Someone removes you from a task’s assignees
