The new way to use Advanced Find in Dynamics 365 CRM
18 October 2023
Summary
Have you tried using the new way to use the Advanced Find functionality in Microsoft Dynamics 365 CRM?
You may have noticed that the little “filter” icon, (highlighted in the image below), for Advanced Find in Dynamics 365 is no longer in the top right-hand corner of the interface.
If you’re an advanced user, this was a great way to find records that aren’t available via the standard navigation menu – so what do you do now?
Searching ‘hidden’ tables
Worry not, it’s still possible to create an Advanced Find in Dynamics 365 CRM against tables that are not in the navigation menu, but they will need to have been added to the App.
Here’s how to do it:
1. Click on the global search box in the centre of the top banner.
2. A drop down list of previous searches will appear – at the bottom of this list there will be an option for “Search for rows in a table using advanced filters”.
3. Click on this and a list of all the tables available to you within this App will appear – just select the table that you want and you’ll be dropped into the new “Advanced Filter” experience.
4. Specify the filters that you’d like to apply to the data and select the fields to view.
5. Save the View by clicking on the drop down next to the View name and selecting “Save as new view”.
NOTE: You’ll also notice that there is now an option to “Manage and share views”. This is a great function if you want to make amendments to your saved views or share with colleagues.
Organising your Views
NOTE: The old functionality of sharing a view, setting a default view, or deleting or editing is all still there.
More information on managing and personalising views in Dynamics 365 CRM can be found in this blog.
Additional Information
You can still get to the ‘old skool’ way of doing an Advance Find by going into “Advanced Settings”, but you can guarantee that the Advanced Find filter will slowly be removed from there soon too.
The old days of easily being able to see absolutely every table via Advanced Find are fading – a table will need to be explicitly added to your App (not necessarily to the left-hand navigation menu) if you need to view the data.
If there’s a table that you cannot access using the new functionality, be sure to speak to your system administrator before it’s too late, so it can be included.
