Do I need a backup solution for Microsoft 365?

Summary

Microsoft 365 is a suite of apps bringing together all the Office applications in one cloud-based platform, enabling your people to connect, collaborate and get things done from anywhere.

Whilst Microsoft provides some level of data protection and backup options, having a separate backup of your Microsoft 365 data is important for several reasons.

Do I actually need a backup solution added to Microsoft 365?

Microsoft 365 wasn’t designed to deliver data protection facilities to all of its customers. Consequently, a requirement for a backup solution is recommended to avoid data loss.

Microsoft does not provide a backup of your data within its Cloud data centre’s around the world. Microsoft do have a global infrastructure of data centres, so if one server, or data centre, goes off-line, other data centres take over the workload in a seamless, minimum impact approach.

However, Microsoft only guarantee approximately 90% of your data for 30 days within its Cloud Services.

What are the top reasons I need a backup solution added to Microsoft 365?

Here are six reasons why you need a separate backup of Microsoft 365:

1. Protection against accidental or malicious deletion

Microsoft 365 allows users to delete files or data accidentally, or even intentionally. Having a separate backup of your data ensures that you can recover your lost data in case of any accidental or malicious deletion.

2. Retention of deleted data

Microsoft 365 provides limited retention of deleted data, which means that the data may be permanently lost after a certain period. A separate backup of your data ensures that you can retain deleted data for as long as you need.

3. Disaster recovery

Disasters such as natural disasters or hardware failures can cause data loss. Having a separate backup of your Microsoft 365 data ensures that you can recover your data quickly and avoid any business interruption.

4. Protection against ransomware and other cyber threats

Ransomware attacks and other cyber threats are becoming more sophisticated, and they can cause significant damage to your Microsoft 365 data. A separate backup of your data ensures that you can recover your data quickly and avoid any business interruption.

5. Legal and Compliance requirements

Certain legal regulations require organisations to store data safely for a specific period due to compliance regulations, in order for the data to be available and accessible in the event of, for example, litigation. Backing up of Microsoft 365 ensures that you can retrieve mailbox data during legal action, or to meet any regulatory or compliance requirements.

6. Third party Applications

With the increase in third party applications to Microsoft 365, this introduces a risk of data loss if the app fails or does not work as it should. Having a backup solution in place can mitigate the risks of data loss if the third party application was to fail or lose data.

In conclusion, having a separate backup of your Microsoft 365 data is essential to protect against accidental or malicious deletion, meet compliance requirements, protect against cyber threats, retain deleted data and enable disaster recovery.
